Attaché: How long should we be keeping Archives

Attaché Archive is used to back up and restore your Attaché data from within your Attaché system. With Attaché Archive you can:

  • Get prompted to create a backup whenever the last user exits a company.

  • You can also run it "on demand".

  • Archive files are stored under your Attaché program folder in a folder titled Archive in a separate folder for each company and can be easily restored if necessary.


Recommendations

  • Attaché Software recommends that after backing up your data with Attaché Archive you copy the file to removable media and store it securely in separate premises. You should use your Windows File Explorer to Copy or delete any Archive files.

  • Keeping old archive data for too long can end limiting available disk space and subsequently cause issues in the performance and functionality of Attaché.

  • New archives create new files and do not overwrite old archives.

  • Users need Archives to be stored to make the restore process as easy as possible if needed.


How Many Archives should you be maintaining in the Attaché program, Archive folder

This is very much a matter of common sense and will also be a factor of how large each of your archive files are. The bigger your archive files, the less you will want to have in the Attaché program folder. The following information may be used as a guide.

  • Renaming archives: you may wish to rename and keep all month end and year end archives for the year in case you want to regenerate old monthly reports e.g. Name archive Prior to Jan 22 ME or similar.

  • Payroll archives: keep the last one or 2 months.

  • Pre-process archives: such as Supplier Pay selections keep this till you are sure the Bank transfer amounts are ok, and you do not need to restore.

  • Daily archives: you should keep the last one or 2 weeks only. Daily archives are created for the purpose of safekeeping your data should you for some reason experience a data corruption.

    📌Note: you should copy the archives you do not want to an external drive and then delete later just in case you need them.
