If you experience this issue after processing FBT pays, you will need to create an empty pay for each employee affected in the previous financial year payroll company, and process that pay for Pay Period Ending 30 June and Date Paid 30 June.
Open your previous financial year payroll company.
Go to Payroll, Transactions, Timesheets, Create or Modify.
Select the affected employee code.
In the Function field, select Add new pay - start with Empty pay, and enter or tab to the footer section.
You can enter a Description if you require it.
Click Accept (F9) to go to the timesheet entry screen.
Without entering anything into the timesheet screen, click Finish (Esc).
At the Confirmation message Accept empty pay? click Yes to save the pay.
Click Close (Esc) to exit the screen.
Repeat steps 2-9 for all employees that are affected by this.
Check the pays selecting Timesheets only in the Check options and entering 30/06/2024 for both Pay Period Ending and Date Paid.
Process the pays as per normal. See: The Payroll Process Pays Workflow.
Log into Single Touch Payroll and submit the resulting batch. The date paid should now display as 30 June, and this should sync through to each employee MyGov ATO Income Statement.
If you have a lot of employees to update, you can enter empty pays using a KFI file. to do this:
Obtain a list of required employee Location and Employee Codes using the list wizard function in the Employee Masterfile. See: Use the List Wizard to report on employee masterfile details.
Download the KFI import template for creating empty pays.
Open both files in steps 1 and 2 above in Excel, and from your exported list wizard list of employees, copy the Location Code and the Employee Code data into the KFI template at step 2.
Make sure the values in the 0 value tax column in the KFI template are all 0.
When all the required employees are populated in the spreadsheet, remove the header row and save the spreadsheet.
Create an archive of your data prior to importing the KFI file. See: Create an archive and find the archive file.
Go to Payroll, Transactions, Timesheets, Create or Modify.
Click the KFI icon in the top toolbar, or CTRL+F9 to launch the Add/Modify Timesheet - Keystroke File Import window.
Click File (F2), change the Objects of Type field to All files (*.*), navigate to and select the KFI template file from where you saved it.
Click Start (F5) to begin the import.
Once the import is complete, follow steps 11 to 13 in the first section above to check and process your pays and submit the resulting single touch payroll batch.
