Prior to changing employee status and making the required configuration changes, confirm the actual change date in relation to their current pay period.
If the change is part way through a pay period, process a pay for them up to the day of the change, ensuring that their leave accruals are up to date.
If this has been done, or if the employee did NOT need a part payment, you can proceed to the steps below.
To change the casual employee to part or full-time status
Choose Masterfiles. Payroll, Employee Details, Maintain.
Find the appropriate employee code.
In the Pay Details tab, amend the required payment information:
Employment Status.
Base Hours per Week.
Pay Frequency.
Pay Rate Type.
Normal Rate.
Award rate.
In the Leave Details tab, amend the leave tables and other details as appropriate.
Leave Start Date: Leave this field as it is.
Hours per Day: The new number of hours per day.
Days per Week: The new number of days per week.
Leave Tables: Allocate or change to the appropriate leave tables.
Last Entitlement Date: The date the employee received their last leave entitlement.
Entitlement Owing, Pro-rata Owing, Contingent Owing: These fields should be left the way they are unless they are displayed in days, and you have changed the employee's hours per day.
Click Accept (F9) to save the Masterfile changes.
Once done, go to Payroll, Masterfile, Standard pays, Maintain.
Select the Employee Code that needs to be updated.
Click Accept (F9) to access the timesheet task area.
Edit the employee hours in accordance with their new status and standard hours per pay.
Click Finish (Esc).
Click Yes to the confirmation message to save the employee's standard pay.
Click Close (Esc) to leave the screen.
