Attaché Payroll (Australia): Set up Long Service Leave for NSW and Queensland employees

Updated over 3 months ago

Attaché provides a Sample payroll company that provides guidance for payroll setups. Examples of Leave Table setups for Long Service Leave can be found below. Please also see: How leave works in Attaché.

Setting up Long Service Leave 0 - 10 years (LSL) for NSW and QLD

  • Employees are entitled to 2 months of Long Service Leaves after 10 years of service.

  • The first set up (LSL) accumulates Long Service Leave in the “Contingent Owing” column for 5 years, then as pro-rata up until the end of the Entitlement Period which is 10 years.

  • The contingent period of 5 years is used to indicate that there is no entitlement to Long Service Leave until after 5 years of service (see below for details of entitlement between 5 and 10 years).

  • Entitlements Between 5 and 10 Years: under the following circumstances a worker who has completed five years (but less than 1O years) of service may be entitled to a payment for pro-rata long service leave:

    • The employee resigns on account of illness, incapacity, domestic or other pressing necessity; or

    • The employee Is dismissed for any reason except serious and willful misconduct; or

    • By reason of the death of the worker

  • A typical Setup of the LSL code:

Setting up Long Service Leave NSW and QLD - 10-15 years (LSL2)

  • After 15 years of continual service, an employee in NSW and QLD is entitled to another 4.3333 weeks of long service leave.

  • A new leave table (LSL2) is required to be set up after 10 years to accrue the employees' entitlement of 1 month for every five years of continued service. The leave is accrued as pro-rata up until the end of five years of service when it becomes entitled.

  • The LSL2 code should replace the LSL code on the employee’s Masterfile after the first 10 years of service, once the employee has become entitled to their long service leave.

  • See below example of the LSL2 code setup:

Setting up Long Service Leave after 15 years - QLD (LSL3)

  • For Queensland, after 15 years of continuous employment, long service leave is still calculated at 4.3333 weeks every 5 years but can be accessed as it accrues. A third leave table (LSL3) is needed.

  • The LSL3 code should replace the LSL2 code on the employee’s Masterfile after 15 years of service.

  • See below example of the LSL3 code setup for Queensland:

  • As per screenshot above, the entitlement Period is calculated on an hourly basis, based on a full-time equivalent employee accruing 4.3333 weeks x 38 hours per week = 164.6654 hours accrued in 5 years.

  • 365 days per year / 7 days per week * 38 hours per week x 5 = 9,907.143 hours worked per 5 years FTE

  • 9,907.143 / 164.6654 = 60.1653

  • So, 1 hour of long service leave accrued as an entitlement every 60.1653 hours worked.

Absences from work, leave and parental leave

Parental Leave (paid and unpaid) is not counted towards the ten years entitlement period.

📌Note: The employer should verify the above entitlement information independently, the set-up information given above may not be applicable to all employees.

Correct Calculation of Days/Hours for LSL for full-time or part-time employees

Because Long Service Leave is a date-based calculation, Attaché will reference the setups of the Employee Masterfile, Leave tab to calculate the correct amount of LSL in hours or days, based on what is listed in the Hours Per Day x Days per week fields.
