Attaché Payroll: The Leave Table Calculate by setting

For each leave table, you use the Calculate by field to specify how Attaché Payroll calculates leave accruals.

The three methods of calculation are:

  • Date

  • Hour

  • Pay

The Display in field determines how leave accruals are displayed in the employee masterfile and on pay advices and reports. Attaché recommends that this field be consistent with the Calculate by and Entitlement fields.



Calculate by date

If you choose to calculate a leave table by date, Attaché Payroll bases each employee's leave on the number of calendar days that the employee has been employed.

For example, suppose a weekly-paid employee takes three weeks' leave without pay, during which time you do not process a pay for the employee. In the fourth week, when the employee returns from leave and you process pays, the employee receives four weeks' leave accrual.

📌Note: Generally under Fairwork, employee's do NOT accrue leave on Unpaid Leave. So setting Calculate by to date may not be appropriate for your payroll.


Calculate by date is usually used for full time employees who are paid on a salary basis.

📌Note: Calculating by date does not apply to RDO leave tables.



Calculate by hour

If you choose to calculate a leave table by hour, Attaché Payroll bases each employee's leave on the number of hours that the employee works.

When you set up or modify the leave table, you can specify the income categories that leave will be accrued on.

For example, you can choose to calculate leave accruals on the Normal, personal carer's leave (Sick Leave) and Annual Leave Income Categories and exclude the Overtime income category for calculating leave accruals on hours worked.

Calculate by hour is recommended for use under Fairwork and also for casual or part-time employees or those employees who do not work regular hours.

Attaché Payroll uses the following formula to calculate the set accrual, where each quantity is in calendar days:

Hours per year=

Number of days per year x Hours per days

Hours per week accrued=

Hours per year ÷ (365 ÷ 7 = 52.1428571428)

For example, for a weekly-paid employee who receives 20 days' annual leave:

152 hours per year=

20 days per year x 7.6 hours per day

2.91506849315 hours per week accrued=

152 Hours per year ÷ (365 ÷ 7 = 52.1428571428)



Calculate by pay

If you choose to calculate a leave table by pay, Attaché Payroll accrues a set amount of leave each time a pay is processed for the employee.

Attaché Payroll uses the following formula to calculate the set accrual, where each quantity is in calendar days:

Set accrual=

entitlement ÷ entitlement period × length of pay period

For example, for a fortnightly-paid employee who receives 20 days' annual leave:

Set accrual=

20 ÷ 365 × 14

0.767123 days per pay period

🤓Tip: To accrue leave for an employee who is not receiving a pay, set the Calculate by field to Calculate by pay.



Using similar leave tables

Because different calculation methods are appropriate for different types of employees, you can set up similar but separate leave tables. For example, if your company has both permanent and casual employees who accrue leave, you can set up one leave table that calculates by date (for permanent employees) and a separate table that calculates by hour (for part-time, casual employees). You can set up as many leave tables as you need for each leave-related income category.
