Attaché Payroll (Australia): Process reportable fringe benefits payments

When and how do I process reportable fringe benefits transactions for the FBT Financial year?

As soon as you have the Fringe Benefits Tax (FBT) values for the FBT year (that is, for 1 April to 31 March), you can process your reportable fringe benefits transactions as an adjustment pay. You can also enter your reportable FBT at the end of the financial year. Please note the following:

For the correct entry of FBT transactions, please see the following 4 scenarios below.


Scenario 1

The payroll Officer receives the FBT amounts from their accountant, or any other person providing the values allowing them to be entered at the beginning of the FBT year.

  1. Setup your standard pays with the correct allowance, deduction or employer contribution fringe benefit configuration. The value will be the net/non-gross up amount

  2. Process each payroll with the value that splits the amount of 12, 26 or 52 pay periods

  3. Reconcile the last STP batch for the financial year. See: STP Reconciliation report.

  4. If an amendment is required, proceed to Scenario 3 below.

  5. Complete the normal EOY processes after your last pay as per the Attaché Payroll EOY Quick Reference Guide.


Scenario 2

The payroll officer receives the FBT amounts from their accountant, or any other person providing the values BEFORE the last pay in the financial year.

  1. Follow the steps below under the headings Enter reportable fringe benefits and Process Reportable Fringe Benefits.

  2. Reconcile the Fringe Benefit Exempt and Non-Exempt amounts in the Single Touch Payroll batch. See: STP Reconciliation report link in Scenario 1 above.

  3. If an amendment is required:

    • Yes - move Scenario 3 below.

    • No – move to Step 4.

  4. Complete the remaining EOY Processes as per the Attaché Payroll EOY Quick Reference Guide.


Scenario 3

The payroll Officer receives the FBT amounts from their accountant, or any other person providing the values AFTER the last pay in the financial year, the payroll officer hasn’t completed the end of year process but needs to make sure the values are entered.

  1. Process the last payroll for the financial year.

  2. Complete the Finalise your employees steps as per the Attaché Payroll EOY Quick Reference Guide.

  3. Follow the steps below under the headings Enter reportable fringe benefits and Process Reportable Fringe Benefits noting that the Pay period Ending will be 30/06/2025, and the Date Paid is 31/03/2025.

  4. Reconcile the resulting STP batch for the financial year. See: STP Reconciliation report link in Scenario 1 above.

  5. If an amendment is required:

    • Yes - return to Step 3 above.

    • No - move to step 6.

  6. Complete the remaining EOY processes as per the Attaché Payroll EOY Quick Reference Guide.


Scenario 4

The payroll Officer receives the FBT amounts from their accountant, or any other person providing the values AFTER the last pay in the financial year. The payroll officer has completed the end of year process because they need to process their first pay for the financial year.

  1. Process the last payroll for the financial year.

  2. Run the STP Reconciliation Report. See: STP Reconciliation report link in Scenario 1 above.

  3. Complete the Finalise your employees steps as per the Attaché Payroll EOY Quick Reference Guide.

  4. Complete the remaining EOY processes as per the Attaché Payroll EOY Quick Reference Guide.

  5. Create a copy of your historical payroll data as per the Attaché Payroll EOY Quick Reference Guide.

  6. Link the company to the primary company as per the Attaché Payroll EOY Quick Reference Guide.

  7. Process the FBT adjustments in history company.

  8. Follow the steps below under the headings Enter reportable fringe benefits and Process Reportable Fringe Benefits noting that the Pay period Ending will be 30/06/2025, and the Date Paid is 31/03/2025, and process the pays.

  9. Run the STP Reconciliation Report. See: STP Reconciliation report link in Scenario 1 above.

  10. If requiring an amendment

    • Yes - return to Step 7.

    • No – move to Step 10.

  11. Process current year pays in the live company.


Enter reportable fringe benefits

To enter fringe benefits for each employee:

  1. Go to Payroll, Transactions, Adjustments, Create or Modify.

  2. Select the Employee Code.

  3. Select Add new pay – start with an empty pay.

  4. Enter a Pay Description and click Accept (F9).

  5. In the body of the pay, enter the fringe benefit information. Note: Enter the net amount of the reportable fringe benefits. Attaché Payroll will calculate the grossed-up amount and report that to the ATO.

  6. Click Finish (Esc) and Yes to confirm the pay.


Process Reportable Fringe Benefits

  1. In the Process Pays Workflow, click Check Pays.

  2. Set the Pay Period Ending and Date Paid as follows:

    • If you are entering your FBT transactions BEFORE your last pay, both Pay Period Ending and Date paid will be 31/03/2025.

    • If you are entering FBT transactions AFTER processing the last pay, then the Pay Period Ending is 30/06/25 and Date Paid is 31/03/25. This will ensure the dates appearing in the employees’ income statement are correct.

    • Note: If the Date Paid is after the 31/03/2025, the fringe benefits entered will be incorrectly reported in FY25.

  3. Check only the Adjustment Pays.

  4. Select the options and Print (F9).

  5. Go through the rest of the Process Pays Workflow as normal to process pays and report to the ATO via Single Touch Payroll.
