Attaché Accounts: Cost Centre budgets

Creating and maintaining budgets for each combination of cost centre and general ledger account.

Cost Centre Budgets allows you to maintain budgets for each combination of cost centre and general ledger account. You can enter a budget for each period in the current financial year, and budgets can be created or updated at any time.


Create a cost centre budget

Follow these steps to create a cost centre budget.

  1. Go to Setups, General Ledger, Budgets, Cost Centre Budgets.

  2. Enter or select a cost centre from the Cost Centre drop-down box. The available general ledger accounts are displayed.

  3. Find the required accounts by using the search and filtering functions.

  4. Enter the budget values in the grid or copy and paste the values in from an external spreadsheet, such as Microsoft Excel.

  5. When ready, click Accept (F9) to save the cost centre budget.

📌Note: Regardless of whether an account has a Debit (Dr) or Credit (Cr) status, enter all values as positive numbers unless the budget value is meant to be negative.

🤓Tip:

  • You can use Ctrl+A in Cost Centre Budgets to copy and paste all contents along with the general ledger account code and description into an external spreadsheet so you can update, calculate and review the budget in the spreadsheet.

  • When finished, you can then copy and paste the contents back in to Cost Centre Budgets.

  • To compare the cost centre budget values to actuals, print the Cost Centre Actual vs Budget Statement.


Cost Centre Budgets functions

The following functions are available in Cost Centre Budgets.

Function

Description

All Accounts

Use this option to filter the list of general ledger accounts displayed. For example, if you are only interested in expense accounts then you can choose to display debit accounts only.

All Types

Use this option to filter the list of general ledger accounts displayed. For example, if you want to enter budget values for the profit & loss accounts, you can choose to display only Reset type accounts.

All Account Groups

Use this option to filter the list of general ledger accounts displayed. For example, if your chart of accounts is grouped into branches or departments, you can filter the accounts to display a specific group.

Show Inactive Accounts

By default, only active accounts are displayed. To view inactive accounts, select the Show Inactive Accounts check box.

Memo

Memo allows you to record important information and notes about the budget. The memo is saved only when you save the budget. If you enter a memo and then select Cancel (F3) without first saving the budget, the memo will not be saved.

Print

To export the budget grid, choose Print. The Print Preview is displayed. You can then send the budget to a printer or save it to most common file types, such as PDF and XLS.

Accept (F9)

To save the cost centre budget, choose Accept (F9). Your username and the date the budget was created/last updated are saved, along with the budget details.

Delete (F6)

To delete the budget, choose Delete (F6).

Cancel (F3)

To cancel the budget, choose Cancel (F3). Use this option if you have selected an incorrect cost centre or you have started to enter information against a budget and no longer want to proceed.


Cost Centre Budgets keyboard shortcuts

The following keyboard shortcuts are available in Cost Centre Budgets.

Move to the All Account Groups filter.

Move to the Show Inactive Accounts check box.

Ctrl + S

Save the budget. Equivalent to selecting Accept (F9).

Esc

Discard all changes and close the current budget. Equivalent to selecting Cancel (F3).

Ctrl + P

Open the Print Preview screen.

Ctrl + M

Open the Memo.

Ctrl + Tab

Exit the grid to the next control.

Shift + Ctrl + Tab

Exit the grid to the previous control.

📌Note: Use the spacebar to set the Show Inactive Accounts check box and the options in All Account Groups to on or off. When the focus is on All Accounts or All Types, use the spacebar to display the drop-down list and the arrow keys to navigate the list, then press Enter to make a selection. When the Memo is open, press Esc to return to Cost Centre Budgets.
