Attaché: Alex Error 'Cannot save or export XML data. The XML maps in this workbook are not exportable.'

Updated over a month ago

In order to bulk update Delivery Addresses for Customers, Suppliers or Employees you need to export all addresses from the Delivery Address Manager to an xml file. This file can be edited as needed in Excel. The updated address data can then be saved back to an xml file and imported back into the Delivery Address Manager.

However, Excel may not permit the export of the data due to the following error: "Cannot save or export XML data. The XML maps in this workbook are not exportable."

We have created some xml maps that will enable you to get around this error.

Note our related article on Export and Import Document Delivery Addresses. You'll need to understand how to do this to follow the steps below.

Solution 1

  1. Open the XML file in notepad.

  2. Copy all into a blank notepad.

  3. Save the blank notepad as all files.

  4. Import the new file.

Solution 2

If solution 1 did not work, you may have to run through the steps below:

  1. Once you have exported the document delivery addresses you want to edit do the following:

  2. Open the exported xml file in Excel. You will receive messages about maps, etc., allow Excel to create these.

  3. Make all the changes you need to the Delivery Addresses in Excel. You can save this file as an xlsx file as you go.

    • Ensure that ALL fields have a value, especially Name and Address fields.

    • This includes records where the Method is Printer.

      • For these records, add "PRINT" or other desired text to both the Name and Address columns.

      • You can filter for blanks to quickly copy these values in.

      • Alex requires all fields to be present in the xml file created by Excel, a blank field will be left out of the xml, so the "PRINT" value must be added.

  4. When you are ready, download the appropriate xml map/s and save to a memorable folder:

  5. In Excel, click on the Developer tab:

    • If you don't see the Developer tab, you'll need to activate it using File, Options, Customize Ribbon and in the Customize Ribbon column select Main Tabs. Ensure Developer tab is ticked.

    • Click Ok to save.

  6. On the Developer tab select the Source button.

  7. Select XML Maps within the XML Source side window.

  8. Click on the DocumentDelivery_Map that Excel has created and click the Delete button.

  9. Click Ok to the warning about not being able to Import or Export data.

  10. Click Add...

  11. Select the appropriate XML file that you downloaded in step 3 above (for example: if your address data is for Customers, then select the Alex Customers.xml file and select Open.

  12. Select Ok to a message about the file not referring to a schema, if received.

  13. The XML Maps window should now have a new DocumentDelivery_Map listed. Click Ok to close the XML Maps window.

  14. In the XML Source side window you should see a folder tree with the first item being DocumentDelivery.

  15. Click on DocumentDelivery and then click and drag DocumentDelivery from the XML Source window onto cell A1 in the Worksheet.

  16. Click on Verify Map for Export in the XML Source side window. You should receive a pop-up window confirming that the DocumentDelivery_Map is exportable.

  17. Save the Workbook again.

  18. Select File, Save a Copy and select Type as XML Data (*.xml).

  19. On selecting the Save button a warning message will be displayed about the loss of workbook features, select Continue.

  20. Close the Workbook, there is no need to save it again.

  21. Archive your Attaché data BEFORE attempting to import any addresses using File, Archive Current Company (In Attaché Pro: System, Tools, Backup data).

  22. Follow the link above to Export and Import Document Delivery Addresses to import the file.

📌NOTE: Remember if the xml file you've created here is intended to replace all your delivery addresses that you should delete all addresses before importing as the import address function ONLY appends addresses. Hence ensure you have archived as per step 21.
