The Employee Masterfile has a flag that you can tick to make an employee inactive or active as required. This setting by default will make the employee not visible in the employee list when using the F2 option to search in the Employee Code field.
📌Note: setting an employee as inactive does not terminate an employee, but it is good practice if you have terminated an employee to make them inactive.
View or hide inactive employees
Open Payroll, Masterfiles, Employee Details, Maintain.
Click in the Employee Code field, select Find (F2) and then ShowInactive (F7) (F2 and F7 are the shortcut function keys on your keyboard). You can also use the ShowInactive(F7) button at the top of the tool bar or the ShowInactive (F7) button at the bottom of the window.
📌Note:
if you do not see the icon toolbar at the top or the buttons at the bottom, you'll need to change your user preferences.
When you click ShowInactive (F7), Inactive employees will now be visible and highlighted in red so you can select them. The button then changes to HideInactive (F7), and if you click the button the inactive employees will again be hidden.
Untick the Inactive (Yes) flag on the Details tab, which will change the setting to No.
Click Accept (F9) to accept the change. The employee will now be active and by default able to be seen in the search list.
Set an employee as inactive
Open Payroll, Masterfiles, Employee Details, Maintain.
Enter the required employee code.
From the Details tab, click the Inactive checkbox. It will change from No to Yes.
Click Accept (F9) to save the change.
Set an employee back to active
Follow the steps in the section above View or hide inactive employees to show Inactive employees.
Select the required inactive employee code.
From the Details tab, click the Inactive checkbox. It will change from Yes to No.
Click Accept (F9) to save the change.
